Akey source and also a vital part of deciding what you want to preform with your life is goal setting through proper time management. Where there is over work loaded into your life, no matter your age, sex or creed...a level of stress begins to amass! Following up from the last months topic on stress management, time management should work efficiently providing in this month for you-tools and techniques. Consider how unique we all are. As individuals who cope in various manners given the pressure,...in the next two editorials my plan will be to decrease your stress load, manage your work-time and implement skilled time management!
At the heart of our theme, "time", sits the importance of shifting focus. The focus can be from distraction to concentration. When you have a lull in your duties you may begin to experience real results from your efforts into your game plans by using the 80-20% rule. The 80-20 Rule:Unfocused effort generates only 20% results. The remaining 80% is achieved with only 20% effort. Here the high payoff tasks dominate to optimise your time and consequently your energy. Why is this overbearing to managing your time ? Because by concentrating on mastering your technique and the rule you will optimise the time available to you.
Time Management Tools begin by acknowledging time wasters. Beating procrastination I know takes effort...and is easier said than done! Hence to help us along the way down below are 4 commonly used techniques, and the remaining 3 will be shared with you in the next bi-monthly edition.
Activity Logs
How do you really spend your time? You will discover how you spend time, by looking at the things that actually do and don't get done. Most of us function differently at distinct levels, and at certain times of the day. Generally our whole energy levels fluctuate.
It is important to identify the "dis-tractors"...and there are plenty!! Look for; the amount of sugar in your blood, the length of time since you last took a break, simple day-to-day routine distractions, stress, discomfort...and the list goes on! In helping you overcome distraction and poor use of time, analysis is required through an activity log on how it's spent. You will be able to identify these by using 2 methods...interdependently!
Chart 1. Your energy levels are different throughout the day...Write up on a blank page time slots beginning at the general time you are awake, an example:
5am-7am
7-9am
10 am-12
1-3pm
3pm-6pm
6pm-7pm
7pm-9pm
9-10pm
If you chart your activity, your energy levels and compare the results with the how you would of liked to see that time invested you'll monitor, with practice your daily activity according to your energy levels.
Action Plans
When you would like to perform and monitor something significant with progression, list the tasks that you require to carry out the action.
Chart 2. Will monitor your action plans by focusing on this useful mnemonic;
S - Space
C - ash
H - elpers/other people
E - quiptment
M - aterials
E - xpertise
S - ystems
Revise your action plan for similar future projects. This counter-acts last minute panic and facilitates advance preparation for maximised delivery. It could be helpful in the area of avoiding negative confrontation, while inculcating prompt communication and the consequence is to win over your situation with confidence.
Prioritise 'To Do' Lists
A list of the following will simplify this area of time management.
Categorise:
- non-core tasks (eg.small tasks)
- activities to make or change
- macro tasks
- micro tasks
Then revise this list throughout your day! You might pleasantly surprise yourself with how well you are currently doing!
Goal Setting
There are 7 simple steps in goal setting;
1. Make sure your working for something you really want, not just something that sounds good, to other people.
For example..."Stop thinking and talking about it and there is nothing you will not be able to know". I mean by this quote to really examine your hearts goals...wants and needs.Look at where you are and where you know you can be in future days. And go for with passion!!!
2. A contradicting goal does not work to your favour...in other words, a goal can not contradict another goal. Take for example you decide you would like to buy a home your thinking can sabotage all of the hard work, it is called non-integrating thinking. There is a way of thinking through your goals on a daily basis without hampering your everyday thoughts in the process.
3. Develop goals in 6 areas of life.
Family and Home
Financial and Career
Spiritual and Ethical
Physical and Health
Social and Cultural
Mental and Educational
Find a balance to ensure your life goals are executed with grace and ease...Begin by examining and changing the fundamentals of everyday living. Also this will help you to master and eliminate "Non-Integrated" thinking.
4. Write your goal down in the positive sense, not for what you leave behind but for what is to eventually come from the fruits of your labour!
This creates a set of instructions for your sub-conscious mind, this efficient tool ...your sub-conscious mind...can determine right from wrong, and it does not judge it's only function is to carry out instructions. The more positive these are...the more positive the results.
5. Write your out in complete detail.
Eg:That home you want to buy; it's 4,000 square foot mud brick 1900's style with 3 bedrooms, 2 bathrooms and views of the cottage garden over looking a veranda near a white picket fence on 10 acres of land. You can smell the wood burning from the fire place on a cold winter's night, with the sun beaming in the mornings through the lead lighting windows ...the more attention to detail, and clarity, the more final the outcomes.
This is a set of instructions to your sub-conscious. Can you close your eyes and visualise it? So can your sub-conscious! Walk in and around your home. Take a moment to picture how you would feel, on the day of it being yours...:)
6. "Surrender to your highest ideals...that can become your destiny in motion" Make sure you never settle for anything less than what you know you can be and dream of being, within your life everyday.
7. Most Importantly....WRITE down your goals!!! This is your ROAD MAP to success. By writing down these can;
- set in the process in motion
- the more focused the more likely you are to accomplish
- sometimes revising a goal (due to circumstances and change of goal) realise this is a victory because sometimes we need to change course in life to accomplish our true HEART GOALS. Think not of failure, yet...insight was realised to make something different, and eventually better!
